How to Reduce Word Count Without Losing Meaning

Blog / EDITING

To reduce word count, remove repetition first, then tighten sentences. You can usually cut 10–20% without losing any ideas.

Remove filler words

Words like very, really, just, actually and basically can often go. 'In order to' becomes 'to'. 'Due to the fact that' becomes 'because'.

Use active voice

'The report was written by the team' (7 words) becomes 'The team wrote the report' (5 words).

Cut repeated points

If two paragraphs make the same point, keep the stronger one. Shorten introductions that restate the question.

Frequently asked questions

Is going 10% over a word limit okay?

Only if your instructions allow it. Many institutions treat the limit as strict.
